We are looking for an Administration Officer to join our team. This could be your opportunity!

Challenges

  • Provide comprehensive administrative support with regards to courier arrangements, procurement, replenishment of pantry and office supplies, office maintenance, document filing, repair arrangements, management of door access systems and coordinate office renovations when required
  • Manage vendors and suppliers: source vendors, obtain quotations, negotiate pricing and arrange contracts. Arrange at least two quotations for purchases over EUR 50,000 and three quotations where applicable.
  • Review vendor and service provider contracts and agreements; appoint new vendors and/or service providers as needed
  • Coordinate fire drills and manage occupational safety matters at the office premises
  • Handle clerical and documentation tasks to support daily company operations
  • Verify invoices for administrative purposes. Prepare payment vouchers and input invoices into the system.
  • Arrange travel: flight bookings, hotel reservations and ground transportation for staff and visitors when necessary
  • Ensure the office is clean, tidy and well-maintained; this includes regular pantry clean-up
  • Coordinate and organize company activities and events
  • Perform ad hoc duties as assigned

Requirements

  • Higher diploma or above preferred
  • Minimum 2 years of experience in an all-round office administration function
  • Strong time-management and prioritization skills with the ability to handle multiple tasks under tight deadlines
  • Detail-oriented, responsible, self-motivated, polite and a committed team player
  • Able to work independently with a flexible and proactive attitude
  • Proficient in MS Word, Excel, PowerPoint and Chinese writing
  • Good command of written and spoken English, Cantonese and Mandarin. Ability to perform professional text translation from English to Mandarin is an advantage.
